These Terms and Conditions govern use of the Bistro Zanex informational website and our United Kingdom-wide professional event production and coordination services. They apply to prospective and confirmed clients, alongside any written proposal, booking confirmation, or event-specific agreement that applies to a particular arrangement.

Agreement and use of services

Acceptance and applicability

By using this website, making an enquiry, or engaging with Bistro Zanex, you acknowledge these Terms and Conditions. Bistro Zanex provides professional event production and coordination services, and each event is considered in its own context. A written proposal, booking confirmation, or other written agreement may set out additional terms for a particular event. Where those written terms expressly differ from these general website terms, the event-specific written terms take precedence for that arrangement. If you do not agree with these terms, please do not use this site or proceed with an enquiry.

Informational website only

This website presents Bistro Zanex services, past work, themed equipment options, and routes to consultation. It is not an online booking, checkout, or financial gaming platform, and viewing content or sending an enquiry does not automatically confirm an event. We do not offer real-money gambling, betting, financial wagering, deposits, withdrawals, gambling accounts, or gambling transactions through this website or our event services. Availability, suitability, timing, and scope are discussed through consultation and confirmed only in relevant written documentation.

Planning an arrangement

Consultation, proposals and event scope

Consultation-led planning

Bistro Zanex begins with consultation so that we can understand the occasion, objectives, guest experience, venue context, production needs, and entertainment requirements. Our work may bring together premium event production, complete event coordination, hospitality experiences, themed productions, and interactive entertainment programmes rather than simply supplying an isolated item.

Availability and suitability depend on the brief and operational setting. Discussion of an idea, item, or format does not promise a particular outcome before the brief, venue context, and practical requirements have been reviewed.

Written proposal and inclusions

Event-specific scope is set out in a written proposal, confirmation, or agreement. Depending on the arrangement, this may address agreed services, equipment, timing, location, production requirements, and client responsibilities. Bistro Zanex services may include corporate galas, private celebrations, milestone parties, themed productions, interactive entertainment programmes, luxury hospitality experiences, casino-themed entertainment, equipment packages, and complete event coordination.

Only items expressly included in the relevant written documentation form part of the agreed scope. Website descriptions are indicative and do not constitute a binding offer, fixed package contract, or confirmation of availability.

Changes to an event brief

Please communicate requested changes as early as possible. A change in guest requirements, format, venue, timing, equipment, or entertainment may affect feasibility, staffing, logistics, and the written scope. Bistro Zanex will assess a requested change before confirming whether it can be accommodated.

A requested change is not agreed merely because it has been discussed informally; confirmed changes should appear in the relevant written event documentation.

Preparing for delivery

Client, venue and event-day responsibilities

Accurate event information

Clients should provide accurate and timely information that is relevant to planning a professional event, including the venue, date, timings, guest considerations, access constraints, and requested services. Bistro Zanex coordinates events across the United Kingdom, and practical details help us assess an appropriate approach.

Incomplete, inaccurate, or late information can affect planning and feasibility. We ask only for information reasonably needed to discuss, prepare, and coordinate the proposed event experience.

Venue access and permissions

Unless responsibility is expressly allocated in writing, clients remain responsible for ensuring appropriate access, permissions, approvals, and venue cooperation relevant to agreed event activity. Practical examples can include venue rules, access windows, loading arrangements, site restrictions, and any requirements affecting production, hospitality experiences, equipment packages, or interactive entertainment programmes.

These requirements should be raised during planning. Bistro Zanex does not automatically secure licences, permissions, or venue approvals unless that responsibility is expressly confirmed in writing.

Safe and respectful participation

Clients and guests are expected to engage safely and respectfully with Bistro Zanex staff, performers, equipment, venue teams, and other attendees. This supports a considered, professionally produced event experience for everyone involved.

Bistro Zanex may adjust, pause, or stop an activity where safety, venue rules, unlawful conduct, or serious disruption makes that necessary for responsible event delivery.

Clear entertainment boundary

Entertainment-only casino themes

Prohibited activity

No wagering or financial gaming activity

Bistro Zanex does not provide real-money gambling, financial wagering, betting services, deposits, withdrawals, gambling accounts, gambling transactions, winnings, or prize claims. Themed tables, equipment, hosts, and related atmosphere are designed for social entertainment only. They are not a route to financial participation, account activity, or a gambling transaction, and no event format offered by Bistro Zanex should be understood as such.

Appropriate themed participation

A casino-themed experience should be planned in an appropriate, lawful, and venue-compatible way, with its entertainment-only nature understood by the client and participants. Clients are encouraged to discuss the intended format during consultation so that it can be considered within the wider event plan. Bistro Zanex may decline or adapt a request that is inconsistent with this entertainment-only position or with the practical requirements of the event.

When plans change

Cancellations, disruptions and service adjustments

Notice of cancellation or postponement

If an event is cancelled, postponed, or materially changed, please notify Bistro Zanex in writing as soon as possible. Early communication gives the best opportunity to assess the position and discuss practical options. Any event-specific consequences and applicable arrangements are governed by the relevant written proposal or agreement.

These general terms do not set fixed notice periods, fees, refunds, or percentages. Those matters, where relevant, should be addressed through the written documentation for the particular event.

Operational disruption

Bistro Zanex may need to adapt delivery where venue conditions, access, safety considerations, supplier availability, technical conditions, or circumstances outside reasonable control affect the event. We will use reasonable efforts to communicate and identify a suitable solution where practicable, while recognising that a substitute service or uninterrupted delivery cannot be guaranteed.

Operational examples may include changes affecting production, hospitality experiences, equipment packages, or complete event coordination.

Scope adjustment

An adjusted format, timing, equipment requirement, or entertainment programme may require revised written confirmation before it is treated as agreed. This reflects the consultation and change-control approach described above and helps keep event planning collaborative, clear, and practical.

Context and reasonable limits

Liability, third parties and website content

Third-party providers and venues

Where third-party venues, suppliers, or production partners are involved, their own terms, availability, conduct, and services may apply. Bistro Zanex works in settings that can include luxury venues, event managers, hospitality brands, and production partners, but responsibilities allocated in an event-specific written agreement remain relevant to each arrangement.

Third-party terms may apply alongside the agreed Bistro Zanex event documentation.

Website information

Bistro Zanex aims to keep website content useful and current. Service descriptions, past gala portfolio material, themed equipment packages, and consultation information should nevertheless be confirmed through consultation and written event documentation. Portfolio content illustrates past work and production craft; it is not a promise that an identical format, setting, or result will be available for every event.

Legal rights and reasonable limits

Nothing in these terms is intended to exclude liability that cannot lawfully be excluded. Questions of liability remain subject to applicable law and any event-specific agreement. This wording is intended to set a clear, proportionate framework for a United Kingdom-wide professional event service.
